ACC One-Touch Approach
ACC One-Touch is our homeowner centric process for handling routine homeowner ACC requests quickly. For associations using One-Touch, requests that are clearly approvals or denials are summarily approved or denied. One-Touch approvals occur when the request is undoubtedly compliant with HOA governing documents and previous board or committee decisions. The ACC Coordinator works with each HOA to create specific One-Touch guidelines for requests that should be included in the One-Touch process. In communities where One-Touch has been implemented homeowners have seen turnaround time improved by as much as 85%.
Potential ACC One-Touch request types:
· General Property Maintenance – the replacement of existing items (such as shingles, fencing, or paint) with the same materials.
· Common Request – the proposal of a project common to past requests or that the HOA’s governing documents clearly define (such as sheds, windows, or solar panels)
Using One-Touch saves time for ACC committees because they only need to review more complicated requests. Board members receive fewer homeowner inquiries and complaints about pending ACC requests. Homeowners have also been pleased: One-Touch requests are typically completed in 24-48 hours, so homeowners can begin projects much more quickly.
Additionally, because JellyBird will complete these simple requests in moments, our ACC Coordinators will have more time to help homeowners correctly work through trickier ACC requests
The Process:
The ACC Coordinator and Community Manager meet with the ACC Committee and/or board to pre-authorize the items they want approved by the ACC Coordinators at JellyBird, without committee review. Typically, the One-Touch items qualify as General Property Maintenance or Common Requests, as described above. The authorization and adoption of ACC One-Touch should be notated during the Association’s next open meeting.
The ACC submission process remains the same for homeowners. ACC Requests are submitted via the JellyBird App for your homeowner’s association.
Once an ACC Coordinator receives a complete request, they determine if it qualifies as a One-Touch request. Common/General Requests are reviewed and approved or denied by the coordinator within 48 hours. Other requests that do not fit the approved guidelines or are considered home construction will follow our standard process. The necessary documents will be compiled and reviewed by the ACC Coordinator and shared with the ACC Committee for the HOA to review. Common examples of these request types are swimming pools, a change of materials or colors, decks, home extensions, etc.
Once a One-Touch request is approved by an ACC Coordinator the letter of approval is sent to the homeowner.
Finally, if the request does not meet the One-Touch guidelines and is denied by the committee, the coordinator sends the homeowner a denial letter and email.
